We are searching for an experienced Executive Assistant Business Partner (EABP 1) to provide administrative and operational support in the Office of the EVP/GM of Small Business and Self-Employed Group (SBSEG). This role will report to the Senior Manager, Business Partner to the EVP/GM.

What you'll bring

  • Minimum of 6 years working at the executive administrative level, preferably supporting senior staff members
  • Bachelor's degree preferred, but not required
  • Technically Savvy, particularly with Outlook (advanced), Google Sheets (intermediate), Google Doc (advance), Google Slides (intermediate), Concur.
  • Thrives on being responsive in fast paced environment
  • Attention to meticulously analyzing data and deliverables for accuracy and completeness
  • Team player, striving towards ensuring the Office of the EVP/GM run seamlessly
  • Excellent verbal and written communication skills including the ability to communicate with all levels of the organization
  • Thrive on feedback and turn them into action
  • Be trustworthy, showing a high level of accountability, integrity, and confidentiality
  • Quickly adopt technological tools needed to efficiently perform in the role
  • Self-starter who can operate independently and move quickly from one task to another; creative problem solver, seeks "win-win" solutions; energized by challenges
  • Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast-paced environment
  • Anticipatory -must be able to plan ahead and identify unforeseen needs
  • Adaptability - embrace change and pivot when changes arise

How you will lead

  • Scheduling specialist, assisting the senior manager, business partner of the EVP/GM, in managing the flow of the executive's schedule, through collaborative and proactive planning, reviewing aggregate scheduling demands, and actioning with guidance and speed
  • Effectively share updates regularly to ensure alignment, projects are on track, and problem solve as needed
  • Maintain and track key dates using shared documents
  • Maintains discretion and confidentiality
  • Provide onsite administrative errand support for the EVP when in the office; collaborating with the admin support team
  • Takes initiative researching, implementing, and improving systems and processes; have in-depth knowledge of company operations, policies, and procedures

Backup Support to Admins in the Office of the EVP/GM, including: Travel coordination and arrangements. Confirm bookings and document detailed information on the travel agenda and on the executive's calendar. Plan and support meetings, off-sites, and team motivation events. Create purchase orders. Manage and reconcile expense reports. Maintain organizational charts and email distribution lists
