The Sr. Program Manager will be responsible for overseeing the reconciliation process of purchase orders (POs) received from our suppliers. This individual will play a critical role in ensuring that incoming POs are accurately matched with corresponding invoices and receipts, resolving any discrepancies promptly.  The Sr. Program Manager will play an important role in helping ensure new item setup allows for an efficient receive process in the operation. 

You Will:

  • Manage the reconciliation process for incoming purchase orders, ensuring accuracy and completeness.
  • Match supplier invoices with corresponding POs and receipts, identifying and resolving discrepancies.
  • Create a process to enable easy flow of new item setup into the operation, working cross-functional with multiple teams.  
  • Establish a process for new bin creation, and management of bins and define bin criteria for future technology tools  
  • Establish an Inbound PO visibility schedule  
  • Continuously evaluate and improve the PO reconciliation process to enhance efficiency and accuracy.
  • Analyze reconciliation data to identify trends, discrepancies, and areas for improvement.
  • Generate regular reports on PO reconciliation status, including key metrics and insights.
  • Monitor and track key performance indicators (KPIs) such as response time, resolution time, customer satisfaction scores, and first contact resolution rate, striving to meet or exceed targets set by the organization.
  • Ensure compliance with company policies, procedures, and regulatory requirements in all reconciliation activities.
  • Work closely with the Supply Chain, accounting, finance, and operations teams to streamline processes and resolve issues effectively.
  • Provide training and guidance to team members involved in the reconciliation process, fostering a culture of continuous learning and development.

You Have:

  • Bachelor's degree in Business Administration, Accounting, Finance, or Supply Chain Operations
  • 7+ years of experience in Inbound operations, procurement, accounting, or related roles, with a focus on reconciliation preferred.
  • Strong understanding of procurement processes, including PO management and invoice reconciliation.
  • Exceptional analytical and problem-solving skills, with a keen attention to detail.
  • Excellent communication and interpersonal skills, with the ability to effectively collaborate with internal teams and external vendors.
  • Proficiency in Microsoft Excel and other relevant software applications.
  • Ability to thrive in a fast-paced environment and manage multiple priorities effectively.
  • Experience with ERP systems (e.g., SAP, Oracle) is a plus.

Conditions of Employment: 

  • This position will require working with Hazardous Drugs (HD) and would require that Personal Protective Equipment (PPE) be worn for the length of working with these drugs. These items would include gloves, respiratory protection, gown and other items as required.
  • This position requires medical approval to wear respiratory protection in the form of negative or positive pressure respirators, including N95, full face respirator, SCBA, or Powered Air Purifying Respirator (PAPR).
  • Physical exertion required. Including, but not limited to, walking up to 50% of the time, standing up to 100% of the time, squatting and bending up to 20% of the time and lifting up to 80% of the time for up to a twelve hour shift. Must be able to lift up to 50lbs.
  • Due to the risk of reproductive capability in handling or compounding certain Hazardous Drugs (HD) associates must be willing to confirm that they understand the potential risks (teratogenicity, carcinogenicity and reproductive effects) of handling hazardous drugs.

 

Outlined below is a reasonable estimate of H&H’s compensation range for this role for US-based candidates. If you're based outside of the US, your recruiter will be able to provide you with an estimated salary range for your location.

The actual amount will take into account a range of factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and location. H&H also offers a comprehensive Total Rewards package that may include an equity grant.

$105,000$120,000 USD
