About the Role:

The Sr. Office Coordinator will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. This role is responsible for developing office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation

What You'll Do:
  • Manage the facilities team in Pune and make sure all Crowdstrike policies are followed
  • Oversees and provides covers for Pune team as required:
  • Maintains safe and clean reception area, break area and conference rooms
  • Monitor and maintain office equipment (printers, shredders, etc.)
  • Orders supplies for the entire office; including but not limited to meals/snacks/supplies for break area, stationary, & mail supplies
  • Receives, sorts and forward incoming mail
  • Coordinates the pick-up and delivery of express mail services (UPS)
  • Manage office catering requests
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondence controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Partner with HR to maintain office policies as necessary
  • Support the management of relationships with vendors, service providers and landlords, ensuring that all items are invoiced and paid on time
  • Manage vendors - ensure all staff and vendors employed in critical facilities are properly trained and accredited & ensure adherence to all working policies and procedures, arrange and manage
  • vendor visits and conduct KPI's
  • Support contract and pricing negotiations with office vendors and service providers
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment, procurement, layouts and office systems including fire protection systems and executing building management system (BMS) for energy saving
  • Create effective relationships with key business stakeholders for offices
  • Evaluate and manage staff performance
  • Ensure the results are measured against standards, while making necessary changes along the way
  • Allocate tasks and assignments to subordinates and monitor their performance
  • Ensure top performance of office staff by providing them adequate coaching and guidance
  • Manage internal staff relations
  • Organize orientation and training of new staff members
  • Perform review and analysis of special projects and keep the management properly informed, assisting with building projects, renovations and refurbishments
  • Remain updated on technical and professional knowledge
  • Oversee the maintenance of a safe and secure working environment and ensure safety/emergency procedures are maintained
  • Organize and schedule meetings and appointments
  • Adhere to CrowdStrike security platform
Inquiry Management:
  • Receive incoming requests, prioritize, and communicate to staff
  • Prepare responses to correspondence containing routine inquiries
Additional Responsibilities:
  • Assists with company local events & meetings (onsite/offsite conference room reservations, catering, decor, coordination, etc.)
  • Mailing and shipping items
  • Buying gifts and shipping/sending
  • Other duties and projects as assigned
What You'll Need:
  • Minimum of 8 years professional experience
  • People Manager experience
  • Excellent written and verbal communication
  • Customer service oriented
  • Demonstrated ability to work independently and prioritize multiple, high-priority tasks
  • Ability to interact with people at all different levels including senior management
  • Unimpeachable judgment and discretion in handling confidential information
  • Flexibility to perform job tasks outside of job description when necessary
  • Strong working knowledge of Microsoft Office Suite
